What is an AI purchasing agent?
Updated
In short: An AI purchasing agent is software that handles the routine work of buying and quoting for a business: it reads incoming requests, asks suppliers for prices, compares their replies, and prepares quotes or purchase orders for a person to approve. It is sometimes called an online purchasing agent or an AI procurement agent.
For a distributor, the job looks like this: a customer emails a list of parts, someone retypes it, emails three suppliers, waits, copies their prices into a spreadsheet, adds a margin and builds a quote. An AI purchasing agent does those steps in the background and brings you the decisions.
Request early accessWhat an AI purchasing agent does
A complete agent covers the whole loop from request to quote, not just one step of it:
- Reads incoming requests for quotes and purchase orders from email and PDF attachments.
- Turns each request into structured lines: quantity, unit, specification and requirements.
- Drafts requests for pricing to the suppliers who carry each item.
- Reads supplier replies and lines up prices and lead times for comparison.
- Applies your pricing rules to build a customer quote.
- Waits for a person to approve anything that goes out or commits money.
How it differs from procurement and quoting software
Procurement suites are built for large companies buying from approved catalogs, with requisitions and approval chains. Configure-price-quote (CPQ) tools configure complex products from a catalog. Both assume the request starts inside the software.
An AI purchasing agent starts where small and mid-sized distributors actually work: in the inbox. It reads the request in whatever form the customer sent it and does the follow-up work by email, so neither customers nor suppliers have to change anything.
| Manual quoting | Procurement or CPQ software | AI purchasing agent | |
|---|---|---|---|
| Where requests start | Inside the software | Email and PDF, as sent | |
| Reading the request | Retyped by a person | Entered by a person | Extracted automatically |
| Supplier pricing | Emails and phone calls | Catalog or contract prices | Drafted RFQs, replies read automatically |
| Customers and suppliers change tools | No | Often | No |
| Who approves what goes out | The person doing it | Approval workflow | A person, for every message |
What a trustworthy agent should never do
Software that writes to your customers and suppliers under your name needs firm limits. Before choosing one, check that it keeps these rules in the software itself, not in a setting someone can switch off:
- No sending without approval
- Every RFQ and quote waits for a person.
- No invented prices
- A line without a known cost is flagged, not guessed.
- No silent changes
- Every price shows its source and date, and a PO that doesn’t match the quote is stopped.
- No instructions from email
- Text in customer and supplier emails is treated as data. A message that tries to give the software orders is flagged.
What to look for when choosing one
- Works with your mailbox
- It should read Gmail or Outlook directly rather than asking customers to use a portal.
- Handles your paperwork
- Line-level specs, drawing and mark numbers, certification requirements, and PO PDFs from ERP systems such as SAP.
- Uses your numbers
- Your suppliers, your price list and your markup, kept separate from cost.
- Fits your accounting
- Sent quotes should land in your accounting system, such as QuickBooks Online, without retyping.
- Approvals on your phone
- Quotes are time-sensitive. Approving should take one tap, wherever you are.
- Your data stays yours
- Each company’s records separated at the database level.
How MySourceBot does it
MySourceBot is an AI purchasing agent built inside a working fastener distributor, for distributors who quote by email. Its AI employee, Otto, reads customer RFQs and purchase orders in Gmail, drafts supplier RFQs, reads supplier replies, prices quotes with your markup, and puts each one on your phone with a Send button. Sent quotes are added to QuickBooks Online as estimates.
One quote request, start to finish
This is the path a request takes through Otto. Each station waits for you where your name or your money is involved.
Otto reads the request
Quote requests in the email body and purchase-order PDFs from your customers’ systems are read as they arrive. Every line keeps its full spec exactly as written, with mark, drawing and item numbers, and PO requirements like MTRs become a checklist. Anything Otto is unsure of is flagged for you instead of guessed.
Otto asks your suppliers
Otto drafts an RFQ to the suppliers who carry that material, without naming your customer. You approve it with one tap or by saying “send them”, and their replies are read back in automatically.
Otto prices the quote your way
Supplier cost or your price list, plus your markup, your freight and your tax wording. Every line shows where its price came from and when.
You tap Send
The finished quote waits on your phone with the total and the margin. Tap Send and it goes out as a PDF under your company’s name, and lands in QuickBooks as an estimate.
Questions
Is an AI purchasing agent the same as a procurement bot?
Close, but the focus differs. Procurement bots usually automate internal purchase requests inside a large company. An AI purchasing agent for distributors handles quote requests from customers and pricing requests to suppliers, mostly by email.
Will an AI purchasing agent replace my buyer or inside sales rep?
It removes the retyping, chasing and arithmetic, so the same people can answer more requests faster. Decisions about suppliers, prices and what gets sent stay with them.
Can an AI purchasing agent place orders on its own?
It shouldn’t, and Otto doesn’t. It prepares RFQs, quotes and orders, and a person approves each one before anything is sent or committed.
What kind of business benefits most?
Distributors and resellers who receive quote requests by email with several lines each and price them from supplier quotes: fasteners, pipe and fittings, valves, MRO and industrial supply.
How long does it take to set up?
With MySourceBot, you connect your mailbox and QuickBooks Online, set your markup and quote terms, and add your suppliers with the materials they carry. Most of that is a few minutes in Settings.
