Harness rod and pipe hardware quotes, tied to the customer’s job number

Pipe manufacturers and waterworks buyers send RFQs by job number and mark number, then follow up with formal POs from their ERP. Otto keeps the whole chain together, from first RFQ to order acknowledgement, so you are never matching paperwork by hand.

RFQs that stay attached to the job

Otto picks up the job number, the customer’s PO or RFQ number and each mark number from the request, and carries them onto the estimate. When the customer asks about job US-26-093 three weeks later, the quote is one search away.

Formal purchase orders, including SAP

Purchase orders that arrive as PDF attachments, including ones generated by SAP and other ERP systems, are read automatically. Ship-to address, incoterms, line items and required documents are pulled out for your review before anything becomes a real order.

Each PO is compared with the quote it answers. Quantity, price, extra-line and missing-line differences block the order until you explicitly accept them.

Order acknowledgements and compliance documents

Once you confirm a PO, Otto creates the order acknowledgement as a PDF under your company name. Required documents such as MTRs, packing lists, certificates of origin and tracking numbers are tracked as a checklist on the order.

Questions

Can Otto read SAP-generated purchase orders?

Yes. Purchase orders sent as PDF attachments, including SAP and other ERP output, are parsed into header details, line items and required documents, then held for your review before they become an order.

Does it create order acknowledgements?

Yes. After you review and confirm a customer PO, Otto generates an order acknowledgement PDF with your company details and the confirmed lines.

What happens if the PO doesn’t match my quote?

The order is blocked. Otto lists every quantity, price, extra-line or missing-line difference, and nothing is created until you accept them.
